  1. Make it possible to delete an attached file on incoming e-invoices created by user "System". Sometimes when e-invoices are recieved they include an attachment. Sometimes these attachments are completly wrong and with confidential information and should be deleted. Today you can only delet files you have uploaded by yourself.

  2. Escalation emails should list the invoices that have not yet been approved, showing supplier name, invoice date, invoice number and amount. The current emails are generic and provide no useful information for a manager to address with an approver.

  3. Number of Days in Inbox notification emails should list the invoices that have not yet been approved, showing supplier name, invoice date, invoice number and amount. The current emails are generic and provide no useful information for an approver.

  4. A simple idea that when you've entered a approver in the box, it would be nice to have a little icon next to it which shows who the next approver will be after that person approves the invoice.

    This would be very useful in our case were we are currently implementing and using the routing table and Pre-Approved reference to automate our invoices.

    This would be a quick way to check if the settings we've applied are working correctly and the routing is working as we intend it to.

  5. Use due date as it is on the invoice rather than calculate it from invoice date and payment term. Or make it optional which one is determinative.
    It is very confusing when due date can change when the invoice is sent to ERP.

  6. Currently, the History tab shows blank while an invoice is in document import. It would be helpful to see the Receive and Verify information (see example below).

    This could help reach out to the user who verified to confirm the intended changes made or to inform them of errors. This could also assist in updating PO information that was not listed on the face of the invoice, but was provided in the subject line.

  7. The need of download an attachment to view it is not always valuable. The request is to have the possibility to see a preview of the attachment and then decide if download or not.

  8. When there are several cost rows on one invoice that should be approved by different people it normally takes long time for the invoice to get handled. One problem is that the whole invoice gets locked when one user opens it, it would be better if only specific cost rows could be locked depending on which user that opens the invoice.
    It is also annoying that I always, as soon as I open the inbox have an invoice marked and thereby locks it for other user to handle. If I open the invoice and realize I need to check something…

    When importing routing table excel files to Medius, no timestamp is saved / visualized for the users. This missing feature is creating problems related to...

    • We need to on a very regular basis upload new versions of the routing table due to staff changes internally and new dimensions being created in our ERP.   10. Since both the coder and approver tasks are labeled as 'Approve', it is not possible to identify which invoice need to be coded and which should be approved.

    If we obtain the previous handler's name or task name, it will be helpful in determining the required action when the same person performs both coding and approving."

  11. Allow the ability to choose document type when configuring restriction rules. For example, we want to apply restriction rule to only non-PO invoices to enforce that the memo field on the coding line is populated. The memo field can be blank for PO invoices.

  12. We are only using two dimentions in MF.
    Dimention 1 = GL account and Dimentions 2 = CC
    Normally we have only given the user access to one or a few CC´s.
    We would like to be able to give a user access to extra CC´s when booking on a specific GL account.
    But those CC´s should not be possible to use in combination with other GL accounts.

    with reference to the Medius Support Desk ticket #436969 we have a demand by the reporting:

    Our goal is to display all of the invoices (incoming invoices + document import + open invoices) in one report because based on the feedback by the support desk it is not possible at the moment.

  15. Currently, the OOB rejection process does not keep record of the emails sent to a vendor, nor does it store an email address for the vendor. This forces users to go outside of Medius to communicate with a Vendor about invoice rejections.

    Rejection Process - Proposed

    1. Medius stored an email for each Vendor account that would be used for invalidated invoices.

    2. On an invoice, when you clicked "Invalidate", a box appeared that confirmed invalidation and asks if an email should be sent to the Vendor.

    3. Medius would have an email template that says something like this:

  16. Hi,

    When handling invoices and routing/approving them we always use the text-box to fill in some details about the invoice. Unfortunately the textbox is so small that if you write longer texts not all of the text will be seen from an overview layout (you have to go into the textbox manually and scroll to the end in order to see the full text). When controlling that everything is correct while approving it is time consuming to scroll to the end everytime to make sure all the correct details are in the textbox.   17. We often have to sum up multiple invoice lines to code the total to one account. We would like to be able to highlight the lines that are coding to the same account so the approver can easily see what is being totaled in order to verify these calculations.

    There is a draw and/or text tool available that we could use to accomplish this, but changes made on the invoice image with the draw tool do not save for others to view. I understand the desire to protect the integrity of the original invoice, but I think highlighting would allow…

  18. Capture automatically rotates invoices for OCR, but does not save this alignment. In route step we can rotate the invoice image, but can not save for other users to view the proper alignment.

    Would like to be able to have the alignment from Capture step save or be able to rotate and save alignment during route step.

AP and Approvers would like to be able to copy text from the invoice image when coding the invoice in distribute or approval stages so they don't have to manually type it - for instance copying part of a line description such as a user name or a header reference (which isn't captured as part of capture process) from the image and then paste it as plain text into a free text dimension field when coding.

  20. The option to configure approval workflows to have Reason Codes mandatory when rejected, similar to how a comment can be mandatory when an invoice is rejected.

    This would make reporting on the configurable Reason Codes very useful.
